What Is the Best AI Workflow Automation Platform? 8 Compared on Price

The best AI workflow automation platform for most US companies of 10 to 200 people with no developer is Zapier. Make, n8n, Power Automate, Activepieces, Gumloop, Lindy and Workato compared, with every price read on the vendor's own page on 19 October 2026.

For most US companies of 10 to 200 people with no developer on staff, the best AI workflow automation platform is Zapier. Make is the visual alternative, n8n wins if you have a developer or need the data on your own servers, and Power Automate wins inside Microsoft 365.

Hayat Amin has spent twenty years in technology and sold three companies as chief financial officer. He now builds these workflows inside companies himself, as a forward deployed engineer, so the ranking below comes from someone who has to keep the automations running after the demo. We read every price on the vendor's own pricing page on 19 October 2026, in US dollars unless the page showed another currency. If a vendor doesn't print a price, we say so instead of borrowing one from a review site.

how we ranked the eight

We ranked for one buyer: the owner of a company of 10 to 200 people who wants a handful of processes off people's desks and has nobody whose job is code. Four tests decided the order. Can a non-developer build and fix a workflow? Are AI steps built in, or bolted on through someone else's API key? Is the price printed, so you can budget before a sales call? And does it connect to what a small US company already runs, which is usually Google Workspace or Microsoft 365, a CRM, QuickBooks or Xero, and Slack?

No vendor paid to be listed, none saw this before it went up, and none of the links are referral links. Beyond Elevation builds workflows on several of these platforms for clients, which is the one interest to declare, and it's why we're blunt about who each one is wrong for.

1. Zapier

Zapier is the one we'd hand an office manager on a Monday and expect a working automation by Friday. The paid entry is Pro at $19.99 a month billed yearly, or $29.99 billed monthly, for 750 tasks a month. Team is $69 a month billed yearly, or $103.50 monthly, for 2,000 tasks. Pro adds AI by Zapier, AI fields and unlimited Copilot messages, and even the free plan includes Agents with 400 activities a month.

It's wrong for high volume. Every step that runs is a task, so a workflow that touches 5,000 orders a month climbs the tiers fast. The free plan is also thin for real work: 100 tasks a month, two-step Zaps only and a 15 minute polling interval.

2. Make

Make is the visual canvas: you draw the workflow, branches and loops included, and watch the data move through it. That suits processes with if this, then that logic, such as routing an invoice differently by supplier or amount. Make bills in credits, most actions use 1 credit, and the free plan gives 1,000 credits a month. Companies under 20 employees can apply for its Start-up Plan, which the page describes as 50% off Business.

The pricing page we loaded didn't print a price for Core, Pro or Teams, so we're not quoting one. It's wrong for anyone who won't read a diagram, and a workflow that loops over many items spends a credit on every pass.

3. n8n

n8n is the strongest pick when there's a developer in the building, or when customer data can't leave your own servers. The Community Edition is self-hosted from GitHub. The hosted plans showed in euros when we read them: Starter 20 euros a month billed yearly for 2,500 workflow executions, Pro 50 euros for 10,000, and Business 667 euros for 40,000, self-hosted only. It counts executions, not steps, so a 20 step workflow costs the same as a 2 step one, which is the opposite of Zapier.

It's wrong for an owner with no technical person. Self-hosting means someone patches the server, watches the queue and fixes it at 7am when a workflow stops.

4. Microsoft Power Automate

If your company already lives in Outlook, Teams, SharePoint and Excel, start here before buying anything else. Power Automate Premium is $15 per user a month, paid yearly, and includes cloud flows and attended desktop flows, which is Microsoft's robotic process automation for clicking through old desktop software. Unattended bots cost more: Process is $150 per bot a month and Hosted Process $215, both paid yearly.

It's wrong for a Google Workspace company, and the licensing takes reading. Copilot Studio, where Microsoft builds agents, is sold as a separate pre-purchase plan with no price on the page.

5. Activepieces

Activepieces is open source and prices flat, which is rare in this category. Free gives 1,000 credits a month. Plus is $20 a month flat, billed monthly, for 10,000 credits and up to 5 users, Team is $200 a month, and overage on both is $0.007 a credit. It runs in the cloud or on your own servers, and you can bring your own AI keys.

It's wrong if you need the long tail of niche connectors that older platforms have spent years building. Check that your CRM and accounting software are on its list before you build.

6. Gumloop

Gumloop is built around AI agents rather than fixed steps: you describe the job and the agent reads and writes your apps. Its own page names the work it fits, including lead enrichment, CRM updates from calls and Slack, meeting prep and support ticket triage. Pro starts at $37 a month after a 14 day free trial and includes 20,000 credits, 7,400 plus 12,600 bonus, with credits priced at $0.005 each.

It's wrong for plain data sync. Moving a paid invoice from Stripe into QuickBooks doesn't need a model deciding anything, and paying model credits to do it costs more for no gain.

7. Lindy

Lindy sells an AI assistant per person: triage the inbox, prepare for the meeting, write the follow-up. Paid use starts at $29.99 per user a month for 3,000 credits, every active user in the workspace is billed, and top-ups are $10 per 1,000 credits. You can try it with $50 of free credits that last 7 days.

It's wrong as the backbone of your back office. It's good at one person's admin and weaker as the place your CRM, accounts and operations data meet.

8. Workato

Workato is enterprise integration, built for an IT team connecting an ERP, an HR system and a data warehouse with governance around it. Its pricing page prints no plan names and no prices, only "Talk to sales".

It's wrong for almost every company this list is written for. If you have no IT team, you'll pay for controls you won't use.

which one to pick, in one paragraph

Start from the stack you already pay for. On Microsoft 365, open Power Automate first. On Google Workspace with nobody technical, start on Zapier Pro and move a workflow to Make or Activepieces only when the task count starts to hurt. If you have a developer, or a client contract that says data stays in-house, use n8n. Add Gumloop or Lindy for the jobs that need judgement, such as reading a call transcript and updating the CRM, not for moving data between two systems. The platform is the cheap part. The cost is in deciding which process to automate, mapping it, and keeping it running when an app changes its fields.

Where Beyond Elevation fits

Beyond Elevation is Hayat Amin's firm. We pick the platform that fits your stack, build the workflows inside your own accounts and hand them over documented, so nothing depends on us afterwards. Hayat Amin takes this work on for owner-run companies in New York and across the United States, with London second. The engagement is on the forward deployed engineering page, where smaller companies start with a two week AI Audit at a fixed $3,000, and the build conversation is at meethayat.com/services/fde. How a workflow runs step by step is in how workflow automation works, and what the build costs is in how much AI automation costs and what AI automation agencies charge.

About Hayat Amin

Hayat Amin has spent twenty years in technology. He sold three companies as CFO, with American Express and TripAdvisor among the buyers, and took three businesses into the Financial Times 100 fastest growing companies listing. He sits beside the founder from the first conversation to the wire transfer on an exit.

Hayat Amin is exceptional at the work this article is about: connecting systems that don't talk to each other, and building the live dashboard a chief executive can run the week on. He's a chief financial officer turned forward deployed engineer, so he builds the AI operations himself instead of writing a report about them, and he reads every workflow by what it does to cash and hours. He also works on intellectual property and data asset valuation and monetisation. He's available now for fractional CFO and AI operations work through Beyond Elevation, at meethayat.com/services/fde.

Frequently asked questions

What is the best AI workflow automation software for small business?

Zapier, for a small business with nobody technical, because a non-developer can build and fix it. Pro is $19.99 a month billed yearly for 750 tasks. On Microsoft 365, Power Automate Premium at $15 per user a month is the better first look.

What is the best free workflow automation software?

n8n's Community Edition is free if you can host it yourself. Of the hosted free plans, Make and Activepieces each give 1,000 credits a month, and Zapier gives 100 tasks a month on two-step Zaps only.

Is there a free AI workflow automation platform?

Yes, with limits. Zapier's free plan includes Agents with 400 activities a month, Activepieces' free plan includes agents and flows on 1,000 credits a month, and Lindy gives $50 of credits for 7 days. None of them is enough to run a company's back office for free.

What is the difference between workflow automation and RPA?

Workflow automation joins apps through their connections, so data moves without anyone opening a screen. RPA, robotic process automation, clicks through software the way a person would, which is how you automate an old desktop program with no connection. Power Automate sells both: cloud flows for the first and desktop flows for the second.

Is n8n better than Zapier?

For a company with a developer, often yes: n8n counts executions, not steps, and can run on your own servers. For a company without one, no. Zapier is easier to build on and nobody has to look after a server.
