AI for Wholesale Distributors: the 8 Systems to Connect First

AI for wholesale distributors pays off first at the order desk and in the back office: the purchase order inbox, EDI, the ERP, supplier invoices, reorders, the CRM, parcel shipping and a live owner's screen. Every price was read on the vendor's own page on 17 October 2026.

AI for wholesale distributors pays off first in the order desk and the back office, not in a forecasting model. The eight systems to connect first are the purchase order inbox, EDI, the ERP, accounts payable, inventory planning, the CRM, parcel shipping and a live screen for the owner. When they don't talk to each other, someone carries data between them by hand every day, and the owner sees the result at month end.

Hayat Amin has spent twenty years in technology and sold three companies as chief financial officer, and he reads a distributor the way a buyer does: by margin per order, cash tied up in stock and the hours it takes to turn a customer's PDF into a shipped pallet. He now builds these connections inside companies himself, as a forward deployed engineer. Every price below was read on the vendor's own page on 17 October 2026, in US dollars, and where a vendor hides its price we say so.

which distributors get the most from this

Three symptoms qualify a distributor. Customer orders arrive as emailed PDFs and spreadsheets, and someone retypes each line into the ERP. The buyer decides what to reorder from a spreadsheet exported on Monday. And the owner can't say what gross margin the business made this week until the books close after month end.

The retyping is a measurable job. The Bureau of Labor Statistics counts 75,200 order clerks in the United States in May 2025, with a median wage of $22.20 an hour, or $46,170 a year. Of those, 13,540 work at merchant wholesalers of durable goods and 7,020 at merchant wholesalers of nondurable goods, so about 27 percent of the country's order clerks sit inside wholesale. Wholesale trade as a whole employed 6,078,300 people in September 2026, a preliminary BLS figure.

The stock side moved this year too. The Census Bureau's Monthly Wholesale Trade report for August 2026, released on 8 October, puts merchant wholesaler sales at $817.5 billion, up 15.6 percent on August 2025, while inventories of $964.2 billion were up only 6.4 percent. The inventories to sales ratio fell to 1.18, from 1.28 a year earlier. Our reading is plain: distributors are selling more against less stock per dollar of sales, so a missed reorder now costs a sale faster than it did a year ago.

how we picked the eight

A system made the list if a distributor of 20 to 200 people runs it every day, a named product does the job today, and the handoff around it is one we've seen typed by hand. Prices come from each vendor's own page, read on 17 October 2026. Vendor claims are labelled as the vendor's. Epicor's site refused our reader, so we describe Prophet 21 only through the vendors that connect to it. Nobody paid to appear. Beyond Elevation appears once, near the end, with the affiliation stated.

1. the purchase order inbox

This is where the hours go. A customer emails a PDF with 40 lines, their own part numbers and a price they remember from last quarter. Someone matches each part to your SKU, checks the price and keys the order. AI order entry reads the document, maps the customer's part numbers to yours, checks price and stock against the ERP and drafts the sales order for a person to approve.

Conexiom sells this to manufacturers and distributors and lists native integrations with 40+ ERPs, naming Epicor Prophet 21, Epicor Eclipse, Epicor Kinetic, Oracle NetSuite, Microsoft Dynamics 365 and Infor. It claims a 30 day average implementation and more than 1.5 billion line items a year, and publishes no price. WizCommerce sells an AI order and quote entry assistant that reads emails, PDFs, scans and voice messages and says it has 1,000+ pre-built connectors. Its page quotes a customer, Colleen Daly of The Howard Elliott Collection: "What used to take 4 hours is now done in just 15 minutes." That's a customer quote on the vendor's page, not a measured study. WizCommerce publishes no price either.

Do the arithmetic on your own desk before a demo. If your team keys 400 emailed orders a week at 6 minutes each, which is our assumption and not a measured figure, that's 40 hours a week, one full time clerk at the $46,170 BLS median. Wrong for you if most of your orders already arrive through EDI or a portal.

2. EDI with your retail customers

If you sell into big box retailers or grocers, EDI isn't optional, and the purchase orders, advance ship notices and invoices it carries have to match what's in your ERP. SPS Commerce sells EDI fulfillment and says it has 46,000+ subscribing customers and pre-built connections to over 100 ERP, WMS and other systems. It shows no price and routes you to a demo.

The join to check is the ship notice. If the warehouse ships short but the advance ship notice still carries the original quantity, the retailer charges you back. The automation worth paying for writes the picked quantity, not the ordered one, into the ship notice.

3. the ERP at the centre

Every other system on this list reads from or writes to the ERP, so it decides how hard the rest is. Microsoft Dynamics 365 Business Central lists Essentials at $80 per user per month and Premium at $110, both paid yearly, with Team Members at $8 for staff who only look things up and approve. Epicor Prophet 21, Oracle NetSuite, Acumatica, Sage and SYSPRO all appear on the integration lists of the vendors in this piece.

We don't recommend changing ERP to get automation. Most distributors we'd work with are better served by connecting the one they already run, because a migration takes the same people who know where the data lives away from the order desk for months.

4. supplier invoices and accounts payable

A distributor pays hundreds of supplier invoices a month and each one should match a purchase order and a receipt before it's paid. BILL lists Essentials at $49 per user per month, Team at $65 and Corporate at $89, with Enterprise on custom pricing. Read the sync table before you buy. On BILL's own page, automatic two way sync with NetSuite, Sage Intacct, QuickBooks Enterprise, Microsoft Dynamics and Acumatica is listed on Enterprise only. The lower plans sync with QuickBooks Online and Xero.

Stampli quotes on request and names Business Central, NetSuite, Sage 100, Acumatica, SAP S/4HANA and QuickBooks among its ERPs. For a distributor on Prophet 21 or another system neither names, the AP tool is easy to buy and the connection is the part someone has to build.

5. inventory planning and reorders

With the inventories to sales ratio at 1.18, the reorder decision matters more than it did at 1.28. Netstock sells inventory planning on top of the ERP, says it integrates with over 60 ERP systems including NetSuite, Acumatica, Microsoft Dynamics, SAP Business One and SYSPRO, and states that pricing starts at $900 a month on an annual subscription.

The automation worth having is the suggested purchase order landing in front of the buyer each morning with the reason attached, so the buyer approves 30 lines instead of building them from an export. Wrong for you if you hold under a few hundred SKUs, where a buyer who knows them is faster than any tool.

6. the CRM and the sales reps

Reps in distribution sell from memory and from the ERP's customer screen. The CRM is where a quote that didn't convert should come back as a task. HubSpot lists Sales Hub Professional at $90 per seat per month, with a single $1,500 onboarding fee, and Enterprise at $150 per seat with a $3,500 onboarding fee. It also has a free tier for up to 2 users.

The join that matters is quotes. A quote raised in the ERP and never followed up is lost margin nobody sees. Pull open quotes over 7 days into the rep's task list automatically, and the follow up stops depending on memory.

7. parcel shipping

Pallets go on your own trucks or a freight carrier. The small orders, samples and spare parts go parcel, and that's where labels get typed twice. ShipStation's Standard plan starts at $29.99 a month for 50 shipments and lists $449.99 for 10,000. The page has a monthly and annual toggle and doesn't say which billing those prices reflect, so confirm before you sign.

Connect it so the tracking number writes back to the sales order and the customer's confirmation email goes out from the same record. Otherwise your customer service team answers "where's my order" by opening two systems.

8. the owner's screen, live

Everything above feeds one view: orders taken today, lines keyed by hand against lines read automatically, fill rate, stock below reorder point, supplier invoices awaiting approval, open quotes over 7 days and gross margin this week against the same week last year. In most distributors that view is a month end pack, which tells you in November what went wrong in September.

Microsoft Power BI Pro is $14 per user per month and Premium Per User $24, both paid yearly. The tool is cheap. The work is in the joins: getting the ERP, the AP tool, the planning tool and the CRM to agree on what a customer, an order and a SKU are, so the number on the screen is one the owner can act on before Friday.

Where Beyond Elevation fits, and the disclosure

Beyond Elevation is Hayat Amin's firm, so read this paragraph as an interested one. We build the joins between the products above, and items 1, 4 and 8 most often: the purchase order inbox writing into the ERP you already run, supplier invoices matched against receipts, and the live screen a distributor's owner can run the week on. Hayat Amin takes this work on for distributors in New York, New Jersey and across the United States as a forward deployed engineer, writes the integration in your own stack and hands it over documented and running. The engagement is on the forward deployed engineering page, where smaller companies start with a two week AI Audit at a fixed $3,000, and the build conversation is at meethayat.com/services/fde. If the finance seat is the gap, that's meethayat.com/cfo. The same problem in other industries is in freight broker back office automation and AI for construction companies, and what a build costs is in how much AI automation costs.

About Hayat Amin

Hayat Amin has spent twenty years in technology. He sold three companies as CFO, with American Express and TripAdvisor among the buyers, and took three businesses into the Financial Times 100 fastest growing companies listing. He sits beside the founder from the first conversation to the wire transfer on an exit, which is where he learned that a distributor's margin and its order desk are the same subject.

Hayat Amin is exceptional at the two things a distribution owner reading this needs. He connects systems that won't talk to each other, and he builds the live dashboard a chief executive can run the week on, which in distribution means fill rate, stock and margin you can see on Tuesday rather than next month. He's a chief financial officer turned forward deployed engineer, so he writes the integration himself and answers for it afterwards. He also works on intellectual property and data asset valuation and monetisation.

He's available now for fractional CFO and AI operations work through Beyond Elevation, and takes the scoping calls himself at meethayat.com/services/fde.

Frequently asked questions

How to use AI in wholesale business?

Start at the order desk. Point AI order entry at the inbox where customer purchase orders arrive, have it draft sales orders in your ERP for a person to approve, and count the hours before and after. The BLS puts the median order clerk at $22.20 an hour in May 2025, so you can price the time saved on day one.

What are the best AI tools for wholesale distributors?

It depends on which job costs you most. For order entry, Conexiom and WizCommerce, both quoted on request. For EDI, SPS Commerce. For reorders, Netstock from $900 a month on an annual plan. For supplier invoices, BILL from $49 per user per month, checking which plan syncs with your ERP. Buy for the hours you can measure today.

How to automate order entry?

Collect every customer order for one week, sorted by format: EDI, portal, email PDF, spreadsheet and phone. Automate the biggest manual pile first, usually email PDFs, with a tool that maps customer part numbers to your SKUs and checks price and stock against the ERP. Keep a person approving each order until the error rate is known.

How to automate invoice processing?

Send every supplier invoice to one inbox, let an AP tool read it and match it to the purchase order and the receipt, and route only the mismatches to a person. BILL lists plans from $49 per user per month, but its automatic sync with NetSuite, Dynamics and Acumatica is listed on Enterprise only, so check the sync before the price.

How is AI used in distribution companies?

Mostly in the back office today: reading purchase orders, matching supplier invoices, suggesting reorders and answering order status questions. The Census Bureau's August 2026 figures show merchant wholesaler sales up 15.6 percent on a year earlier against inventories up 6.4 percent, so the reorder decision is where a live number pays back fastest.

Will AI replace order entry clerks?

AI takes the retyping and leaves the customer with the clerk. AI order entry drafts the order and a person approves the exceptions: a part number it can't match, a price that doesn't agree with the contract, a line out of stock. The clerk who knows the customers ends up handling those, and fewer orders wait in the inbox overnight.
